PEMS Requests Must Be Submitted Within 180 Calendar Days of Their Creation Date

Date: April 2, 2025

Attention: All Providers

Effective date: March 28, 2025

Call to action: The purpose of this communication is to inform providers that effective March 28, 2025, Provider Enrollment and Management System (PEMS) requests must be submitted within 180 calendar days of the date that they were created. PEMS requests that are in “Draft” status will expire after 180 calendar days.

All PEMS Requests Will Now Have a Response Due Date

On March 28, 2025, the Texas Medicaid & Healthcare Partnership (TMHP) will update PEMS to add a Response Due Date on all existing requests. Except for revalidation requests, any request that is in “Draft” status on March 28, 2025, will receive a Response Due Date of September 24, 2025.

All PEMS requests that are created on or after March 29, 2025, will automatically receive a Response Due Date that is 180 calendar days from the date that the request is created.

PEMS will automatically close all requests that are not submitted by the Response Due Date. Their status will be set to “Expired,” and they can no longer be submitted. Providers must then create and submit a new PEMS request.

Examples of Response Due Dates

Example 1: PEMS draft request created before March 28, 2025

In this scenario, the provider created the draft on January 1, 2025; therefore, the Response Due Date will be September 24, 2025, which is 180 calendar days after March 28, 2025.

  • Creation date: January 1, 2025
  • Response Due Date: September 24, 2025

Example 2: PEMS draft request created after March 28, 2025

In this scenario, the provider created the draft on May 13, 2025; therefore, the Response Due Date will be November 9, 2025, which is 180 calendar days after May 13, 2025.

  • Creation date: May 13, 2025
  • Response Due Date: November 9, 2025

The Request Dashboard Will Be Updated

On the request dashboard, PEMS requests that are in “Draft” status will have a (!) symbol next to the Response Due Date. Providers can hover over the (!) symbol to see the following message: “Request will expire if not submitted by this date!”

Revalidation Requests Will Remain the Same

PEMS revalidation requests already have the Response Due Date feature. For revalidation requests in “Draft” status, the Response Due Date will continue to reflect the provider’s current Revalidation Due Date. Revalidation requests will not have their Response Due Date extended on March 28, 2025.

Next steps: Providers should share this communication with their staff.
